Innovative Process – Walt Disney World Resorts

When I worked at Disney’s Yacht and Beach Club resorts, we came up with an innovative process to make check in at the front desk more efficient for customers.

One of the biggest complaints from guests arriving from out of town for hotels is not being able to settle into their room before 3pm. At Disney, this was especially the case, as when guests flew in on a flight before noon, their first stop was often the hotel. If the hotel was full the night before, there was usually no way to get these guests into their rooms so they could enjoy their day at the park.

Our team came up with an idea that would assign the guests a room number at check in but wouldn’t activate the keys until the room was ready. The guests wouldn’t know their room number, but we’d pre-assign it in the system to allow the keys to work properly when the room was ready. The guests were given a business card with a special phone number to call to check their room status from the parks or wherever they were heading.

Once the room was ready, our team would check the guest into the system, and then when the guests arrived they’d call the same extension to have their bags delivered.

This system, which we called Keycall, enabled us to give guests a less stressful arrival and allow for them to enjoy their first day on vacation.
